Product & getting started
We already have a TMS. Do we have to switch?
No. That is exactly what Spot is for: it sits alongside your system, not in front of it. Your TMS keeps handling execution; Spot takes over the part before it — enquiries, costing, sending out, following up. If you want to replace your TMS, we offer the full system.
What is the difference between Spot and TMS?
BAILOS Spot is the sales module for spot dispatching: the AI reads enquiries straight from the email, plus partner management with an address book and your internal network with marketplace, broadcast and matching — it runs alongside any TMS. BAILOS TMS is the complete system, Spot included: orders and status, transport management and tracking, documents and invoicing, reports and all AI flows.
Can we upgrade from Spot to TMS later?
Yes, at any time. Spot is part of the BAILOS TMS — when you upgrade, your enquiries, partners and network come with you one to one. Nothing is migrated, nothing is lost.
Is this a load board?
No — closer to the opposite. On a load board you push your load out into the open and hope. Spot makes visible what is already coming in to you: free trucks from your carriers, free loads from your customers. Your market, not someone else's.
We are only three dispatchers. Too small?
No. The value does not depend on size but on whether you do spot business. With three people it is actually quicker to notice what gets left behind today.
Built for one-person operations and independent brokers too — there is no minimum size.
AI & control
Does this replace my dispatchers?
No — it equips them. Negotiating, relationships, the pricing decision: those stay with people. What disappears is the searching, sorting and chasing on the phone.
How much does the AI decide on its own?
It prepares: reads enquiries, assigns them, suggests recipients, calculates. The deciding is done by you — the rate that goes out is always approved first. Human at the helm, AI in the engine room.
Does the AI negotiate with our customers or carriers?
No, never. The AI captures, matches and prepares. Negotiating, committing and approving is always done by your dispatcher — under their own name and their own responsibility.
Does the AI send emails or broadcasts on its own?
Only if you explicitly enable it per workflow. By default the AI writes the draft and you press send. How far you automate individual routine workflows is up to you.
What happens if the AI misreads something?
You see every capture before it is accepted — fields can be corrected in seconds. Nothing goes into your orders unchecked. Corrections flow back, so recognition keeps getting better in your operation.
Can I hand too much over to the automation?
You set the boundaries. For every workflow you define how far the system may work ahead and at what point it waits for your approval. Start tight — and only open up what proves itself in your operation.
Do my dispatchers need AI knowledge?
No. Anyone who enters orders and looks for carriers today can use BAILOS. The AI works in the background — all you notice is that the routine gets faster.
Pricing & contract
What does BAILOS cost?
BAILOS Spot: 99 € per licence per month. BAILOS TMS: 139 € per licence per month — Spot included. All prices plus VAT. Updates, support and AI usage are included. Cancellable monthly.
Are there hidden costs?
The licence is the price. Updates, support and AI usage are included — nothing is billed by usage. Whatever your onboarding needs, we discuss it openly in the first conversation: before you sign, not after.
What is the contract term?
Cancellable monthly — Spot and TMS. We do not tie you down with contract terms, we keep you with value. If BAILOS does nothing for you, you should be free to leave.
When does it pay for itself?
Do the maths on your own margin: two additional loads sold per month usually cover the licence on their own. Everything beyond that is profit. We do not claim percentages we cannot know for your business.
Onboarding & daily work
How long until we can start working?
The deciding factor is not the technology but your master data: partners, contacts, lanes. If you bring those in clean, you are productive quickly.
Realistically: two to four weeks until you are working productively.
What do we have to contribute ourselves?
Time from someone who knows your business — in the first few weeks. Without that person, any system stays empty. We would rather tell you that before than after.
Can we bring over our existing contacts?
Yes, via import — carriers, customers, leads. Your order history is the real treasure here: it is what builds the knowledge of who really runs which lane.
What if our people do not take to it?
Then it fails — like any software. That is why we build for dispatchers, not for presentations: fewer clicks than today, or there is no point.
Is there training?
Yes. Onboarding (2–4 weeks) includes training for your team; because BAILOS follows the daily routine of dispatching, the learning effort is small. The scope and terms of onboarding are agreed in writing before you sign, not after.
Can BAILOS connect to our ERP or accounting system?
The accounting export (CSV) is standard and included in every licence. Custom interfaces to ERP or accounting systems are an Enterprise topic — we clarify the concrete scope in conversation, honestly and without integration fairy tales.
Data & security
Where is our data stored?
In Frankfurt. Database and application run on Google Cloud infrastructure in the Frankfurt am Main region — GDPR-compliant, under European data protection law.
Do we own our data?
Yes, fully. Exportable at any time, EU-hosted, tenant-isolated. Your enquiries, partners and rates are company property — our business model is the licence, not your data. Today that is secured contractually and technically through tenant isolation and export; we are building an additional cryptographic proof on top — that is roadmap, not scope of delivery.
Is our data used to train AI models?
No — under no circumstances. AI processing runs on Google Gemini under an enterprise agreement: your content is not used there to train AI models. At the Enterprise tier we go further still — local AI on your premises or a model of your choice. You decide.
Who in the company sees what?
Roles and permissions are under your control. A dispatcher does not need to see what the desk next door earned.
What happens to our data if we cancel?
You take it with you: a full export as CSV — partners, contacts, orders, history. Provided within the customary industry period after the contract ends. If you sell on data sovereignty, you have to describe the way out as clearly as the way in.
Is BAILOS built to be GDPR-compliant?
Yes. Data processing under contract, tenant isolation and export and deletion rights are built in, and the servers are located in Frankfurt. We provide the data processing agreement.
What if BAILOS goes down?
We run 99.99 % availability on redundant cloud infrastructure, with regular backups. You can check at any time whether everything is up: under My BAILOS your browser live-checks the same endpoints your app uses. If there is an outage, you can reach us directly at support@bailos.live.
The vision page mentions blockchain. How much of that is built?
None of it. The proof layer is a roadmap item: it is not part of any current licence, it costs nothing extra, and you cannot book it today. We write it down because that is where we are building — not because you could buy it. What is live today is on the product pages.
