What is BAILOS?
BAILOS is an AI-powered Transport Management System (TMS) for freight brokers, forwarders and logistics service providers. It automates the entire forwarding process: from order capture through AI carrier matching and transport control to billing and document generation (CMR, waybills, invoices). BAILOS is developed by mindshift IT Solutions OG in Kufstein, Austria.

BAILOS is designed for: Freight brokers looking to automate carrier assignment and order processing. Dispatchers who want more efficient transport planning. 3PL providers with multi-tenant needs. Mid-size forwarding companies (5–200 employees) moving from Excel/phone to a digital TMS. Logistics executives who need real-time visibility into revenue, margins and carrier performance.
What makes BAILOS different from other TMS systems?
BAILOS isn't a generic ERP with a transport module — it was purpose-built for freight brokerage. What languages does BAILOS support?
The app and all documents (CMR, transport orders, confirmations) are currently available in German and English. Polish, Hungarian and Romanian are in preparation. PDF documents can be generated and sent in both DE and EN — individually selectable per carrier.

BAILOS offers 3 plans: Cloud (€69/user/month) — full TMS without AI features. Cloud AI (€99/user/month, recommended) — everything including AI-OCR, Smart Matching, automation. On-Premise (from €499/month service fee + €69/user) — own infrastructure, white-label option. All plans include unlimited orders. Annual billing: pay 11 months, use 12 (~8% savings).
Can I try BAILOS for free?
Yes. Every new account starts with a 14-day Cloud AI trial — full functionality including AI features. No credit card required. After the trial you choose a plan. Without an active plan, access is paused and your data is retained for 30 days.
What are AI actions and how are they billed?
AI actions include OCR scans (automatic reading of incoming documents/emails) and Smart Matching (AI-based carrier assignment). The Cloud AI plan includes 50 scans/user/month (100 on annual plans). Additional scans cost €0.29/scan (€0.19 on annual plans). On-Premise has unlimited AI volume. The Cloud plan (without AI) has no AI actions — carrier matching is rule-based.
Can I cancel anytime?
Yes. Monthly subscriptions can be cancelled at any time effective end of month. Annual subscriptions run until the end of the paid period (11 months). After cancellation your account remains active for 30 days for data export. There is no minimum contract duration for monthly plans.
Are there discounts for larger teams?
Annual billing: ~8% savings (pay 11 instead of 12 months). For teams of 10+ users or reseller terms, contact us directly at enterprise@bailos.live. On-Premise customers receive individually calculated packages.

How does AI Carrier Matching work?
AI Matching analyzes: Route (pickup/delivery, distance), weight & dimensions, time windows, special requirements (ADR, temperature, over-height) and historical performance (reliability, punctuality, price level). Candidates from your carrier database are automatically scored, ranked and presented with a match score (0–100%). The dispatcher selects with one click or lets auto-assignment handle it.
What is the Dispatch Cockpit?
The Dispatch Cockpit is your live dashboard for daily operations. At a glance you can see: how many orders were auto-assigned to a carrier, how many CMR documents were generated and confirmation emails sent, and which orders need manual review. Plus real-time KPIs: automation rate, average processing time and empty-run ratio.
How does the Transport Timeline (Gantt) work?
The Transport Timeline (Transport Control) shows all active transports as a Gantt chart: carrier × calendar week. You can see at a glance which carrier is transporting what freight on which day. Filter by carrier, customer, status. Three views: Gantt, list view, Kanban board. Ideal for capacity planning — instantly spot gaps or bottlenecks.
What documents can BAILOS generate automatically?
BAILOS automatically generates: CMR waybills, transport orders (PDF in DE/EN), order confirmations, delivery notes and invoices. All documents use your company template and can be sent to the carrier with one click. PDF generation is integrated into the transport status workflow — you never forget a document.
What does the Billing Pipeline show?
The Billing Pipeline gives you full transparency on revenue and margins: Contribution Margin (revenue minus carrier costs), Revenue Pipeline by stage (Open → Assigned → In Transit → Invoiced → Paid), Billing Workflow (Inbox → To Bill → Drafts → Sent), and monthly analytics with revenue, margin and payment targets charts.
How does the 9-step Transport Status work?
Every transport goes through 9 steps: Created → Carrier Assigned → Order Sent → Confirmed → Loading → In Transit → Unloading → Delivered → Completed. At each step, status emails are automatically sent. At the "Carrier Assigned" step you can send the transport order as PDF (DE/EN) to the carrier with one click. "Step Back" allows undo in case of errors.

Can BAILOS connect to our ERP/TMS?
Yes. BAILOS provides a full REST API with OpenAPI documentation for orders, carriers, documents, invoices and status updates. Plus webhooks for real-time events (e.g. "order assigned", "transport completed"). Integration with common ERP systems (SAP, Microsoft Dynamics, etc.) via API or dedicated connectors (On-Premise plan).
What technologies does BAILOS use?
Frontend: React 18 + TypeScript + Vite. Backend: NestJS + TypeORM + PostgreSQL. Hosting: Google Cloud Run (europe-west3, Frankfurt) with Docker containers. AI: Google Gemini API for OCR and Smart Matching. Email: SMTP-based (own server or BAILOS SMTP). Security: JWT, RBAC, Rate Limiting, Audit Log, GDPR-compliant.
Is there an On-Premise option?
Yes. On-Premise is for companies with strict data residency requirements, custom integrations or white-label needs. Where is my data hosted?
All cloud data is exclusively hosted in the EU — Google Cloud Region europe-west3 (Frankfurt, Germany). Databases are encrypted (at rest & in transit). There is no data transfer to third countries. On-Premise customers determine the hosting location themselves.

Is BAILOS GDPR compliant?
Yes, fully. BAILOS meets all GDPR requirements: EU-only hosting (Frankfurt), encryption (TLS 1.3 in transit, AES-256 at rest), audit log for all privacy-relevant actions, cookie consent management with opt-in, data subject rights (Art. 15–21 GDPR) via data export and deletion, Data Processing Agreement (DPA) available.
Is there an audit log?
Yes. BAILOS logs all relevant actions: login/logout, order creation, status changes, carrier assignments, document sending, invoice creation, user modifications. The audit log is viewable and exportable by admins — ideal for ISO certifications and internal compliance.
How secure is authentication?
BAILOS uses JWT-based authentication with refresh token rotation, automatic token revocation on logout and rate limiting (brute-force protection). Passwords are hashed with bcrypt. RBAC (Role-Based Access Control) ensures each user only sees and can use the functions relevant to their role.

What user roles are available in BAILOS?
BAILOS offers a granular role system: Admin (full access, user management, settings), Dispatcher (orders, carrier assignment, transport status), Executive (dashboard, analytics, financials), Back Office (invoices, documents, billing), Operations Manager (cross-functional oversight). Each role only sees relevant menus and functions.
Can dispatchers only see their own orders?
This is configurable. By default, dispatchers see all orders within their tenant. However, the admin can set up team-based visibility so dispatchers only see orders from their team. Cross-tenant isolation is always active — no tenant can see another tenant's data.

How long does setup take?
Cloud: Create account, enter company data, add first carriers — up and running in under 10 minutes. On-Premise: Setup and custom configuration handled by our team, typically 2–4 weeks including data migration and training. Data from existing systems (Excel, CSV) can be imported.

Can I import existing carrier data?
Yes. BAILOS supports CSV/Excel import for carriers, customers and contacts. Data can also be migrated programmatically via the REST API. On-Premise customers receive assistance with data migration from existing TMS systems.
