Spot or TMS — which one do I need?
We already have a TMS we’re happy with — is BAILOS still for us?
Yes — that’s exactly what BAILOS Spot is for. Spot is the sales module for spot dispatch and runs alongside your existing TMS: no migration, no integration project, no system change. Your TMS keeps running your transports; Spot captures the enquiries that today vanish with the email — so your sales gets a memory you own. €99 per licence/month, cancel monthly.
What’s in Spot — and what only in the TMS?
Spot covers the sales side of spot dispatch: the AI reads enquiries straight from your email, partner management with address book and OCR onboarding, and the internal network with exchange, broadcast & matching. BAILOS TMS is the full system — everything in Spot, plus orders and the guided status machine, transport control and live tracking, driver app, documents, CMR and billing, reports and all AI ingest flows. Can we start with Spot and move to the full TMS later?
Yes, at any time — Spot is fully contained in the TMS, so nothing is lost: partners, enquiries and your entire enquiry history come along. You upgrade the licence, not the data. Many companies start with Spot to see the system working before they touch anything else.
AI & agents — who decides?
Do the AI or the agents decide anything on their own?
No. BAILOS is human-in-the-loop by default: no step with consequences — sending out a request, confirming an offer, issuing an invoice — happens without a person’s release. The AI does the prep, your team decides. This isn’t a switch you can forget to flip, it’s a founding principle.
What’s the difference between the AI in Spot & TMS and the agents in Enterprise?
The AI in Spot and TMS is perception: in Spot it reads enquiries straight from your email; in the TMS it also reads incoming orders, offers and documents, captures and sorts them — and puts them on your desk, verified. It never acts on its own. The agents in Enterprise — the Co-Dispatcher — act under supervision: they prepare entire workflows, handle the communication (broadcast, enquiries, follow-ups) and chain steps across the whole order — as a draft that waits for your OK. In short: the AI sees, Enterprise does the prep. Neither of them decides.
Does the AI negotiate with our customers or carriers?
No, never. The AI captures, matches and prepares. Negotiating, confirming and releasing is always done by your dispatcher — with their name and their responsibility.
Does the AI send emails or broadcasts on its own?
Only if you explicitly release it per workflow. By default the AI creates the draft, you hit send. How far you automate individual routine workflows is up to you.
What happens if the AI reads something wrong?
You see every capture before it’s adopted — fields can be corrected in seconds. Nothing goes into your orders unchecked. Corrections flow back, so recognition gets better in your operation.
Can I hand the agent too much?
You set the frame. For each workflow you define how far the agent may prepare and from when it waits for release. Start tight — and only open up what proves itself in your operation.
Do my dispatchers need AI knowledge?
No. Anyone who captures orders and finds carriers today can operate BAILOS. The AI works in the background — all you notice is that the routine goes faster.
Data, hosting & GDPR
Do we own our data?
Yes, fully. Exportable at any time, EU-hosted, tenant-isolated. With on-premise, your data never leaves your building in the first place.
Is our data used to train AI models?
No. Your orders, partners and prices stay yours. There’s no sharing with third parties and no cross-company training with your data.
Where is the data hosted?
In the EU. On request on-premise on your own servers — then only your company has access.
Is BAILOS GDPR-compliant?
Yes. Data processing, tenant isolation and export and deletion rights are built in. We provide the data processing agreement.
Getting started & onboarding
How do I become a founding forwarder?
You request founding access via the short form — operator type, role, fleet size — and pick a slot directly. We talk in person, set you up and take over your master data together. Most companies dispatch productively from the first week.
How long does onboarding take?
Cloud companies are usually productive within a few days. We take over master data together; with on-premise and Enterprise the timeline depends on your IT.
Can we migrate our existing data?
Yes, everything. Customers and carriers, open and past orders, carrier orders, offers (where available), prices and invoices can be imported — we guide the migration step by step so nothing gets lost.
Is there training?
Yes. At the start we show your team everything needed; because BAILOS follows the daily dispatch routine, the learning curve is short.

What does BAILOS cost?
Two products: BAILOS Spot — the sales module for spot dispatch that runs alongside your existing TMS — is €99 per licence/month, no setup fee, cancellable monthly. BAILOS TMS — the full system, Spot included — is €139 per licence/month, setup individual by scope. Enterprise — own agents, on-premise, full data sovereignty — is custom and on request.
What’s included in the founding price?
Your entry price stays frozen for good — even when prices rise later. On top come a direct line to the founder team, a say in features and early access.
Are there minimum contract terms?
Cloud plans can be cancelled monthly. On-premise and Enterprise are agreed individually.
What does the Co-Dispatcher cost?
Agents are built individually for each operation — exactly for the workflows you want to hand over. That’s why there’s no list price: you tell us what it should take on, we make an offer.
Tech & operations
What infrastructure does on-premise need?
A Linux server (Docker) operated by your IT — we deliver installation, updates and ongoing support. We clarify the details in a call.
Can BAILOS connect to our ERP or accounting?
Yes. Via API and export we integrate common ERP and accounting systems. We clarify the exact scope in the Enterprise conversation.
Is there a mobile app?
BAILOS runs in the browser and is designed for mobile use — drivers and field staff need no installation.
What if the internet goes down?
Cloud needs a connection. Anyone wanting maximum independence runs BAILOS on-premise in their own network.
